Role Summary

The Front Office Manager is entrusted with the comprehensive management of all front office operations. This role ensures an outstanding guest experience from the initial reservation through to the final departure. Responsibilities encompass overseeing reception, reservations, concierge services, guest relations, switchboard operations, and the night audit. The position actively drives revenue through strategic room sales, maintains high operational standards, and ensures adherence to all hotel policies. As the hotel's primary ambassador, the Front Office Manager is pivotal in creating memorable first and last impressions for every guest.

Key Responsibilities

  1. Front Office Operations Management
  • Oversee the daily operations of the Front Office department.
  • Ensure smooth guest arrivals, departures, and seamless service for in-house guests.
  • Maintain a consistently professional and efficient reception service.
  • Uphold strict adherence to all Front Office Standard Operating Procedures (SOPs).
  • Monitor and ensure the pristine presentation and cleanliness of the lobby area.
  • Conduct daily operational briefings with the Front Office team.
  • Guarantee adequate staffing levels for all shifts.
  1. Guest Experience & Service Excellence Delivery
  • Provide guest service that consistently surpasses expectations.
  • Personally greet and attend to VIP guests, corporate clients, and group arrivals.
  • Address and resolve guest complaints promptly and effectively.
  • Monitor guest feedback through various channels and online reviews.
  • Develop and implement initiatives for guest recognition and loyalty.
  • Ensure personalised service for returning guests and long-term visitors.
  • Coordinate special guest requests and amenity arrangements.
  1. Reservations Management & Revenue Optimisation
  • Supervise all aspects of the room reservation and booking processes.
  • Monitor room availability and optimise occupancy rates.
  • Maximise room revenue through effective upselling and cross-selling techniques.
  • Ensure accurate room allocation aligned with guest preferences.
  • Collaborate with the Sales & Marketing team to manage group bookings efficiently.
  • Oversee booking channels and ensure reservation accuracy.
  • Maintain precise room inventory records.
  1. Rooms Revenue Management Support
  • Assist in the execution of revenue management strategies.
  • Monitor key metrics such as occupancy, Average Daily Rate (ADR), and Revenue per Available Room (RevPAR).
  • Generate daily reports on room pickup and occupancy.
  • Ensure rate consistency across all distribution platforms.
  • Promote room upgrades and attractive value-added packages.
  • Analyse demand patterns and booking pace to inform strategies.
  1. Guest Relations Management
  • Cultivate and maintain strong, positive relationships with guests.
  • Regularly engage with guests in the lobby area.
  • Handle guest feedback and concerns with efficiency and empathy.
  • Coordinate the arrangements for VIP arrivals and departures.
  • Ensure special guest occasions, such as birthdays and anniversaries, are appropriately acknowledged.
  • Follow up on guest satisfaction during and after their stay.
  1. Night Audit & Cash Management Oversight
  • Supervise the end-of-day Night Audit procedures.
  • Ensure the accurate reconciliation of all daily financial transactions.
  • Verify room charges, payments, and revenue postings for accuracy.
  • Oversee the proper handling of cash, credit cards, and foreign currency transactions.
  • Monitor cash floats and adherence to banking procedures.
  • Investigate and resolve any financial discrepancies promptly.
  1. Administrative Duties & Reporting
  • Prepare comprehensive daily, weekly, and monthly Front Office operational reports.
  • Analyse data related to occupancy, ADR, RevPAR, and guest satisfaction metrics.
  • Monitor departmental budgets and control expenses effectively.
  • Maintain accurate guest records and essential statistical data.
  • Submit management reports detailing departmental performance.
  1. Team Leadership & Human Resource Management
  • Lead the recruitment, training, coaching, and development of Front Office personnel.
  • Implement thorough induction programmes for new team members.
  • Develop and manage duty rosters and leave schedules.
  • Conduct regular performance appraisals for staff.
  • Foster a collaborative environment emphasising teamwork, accountability, and service excellence.
  • Manage employee discipline in line with hotel policies and procedures.
  • Identify staff training needs and arrange for continuous professional development.
  1. Interdepartmental Coordination
  • Maintain close liaison with the Housekeeping department to ensure timely room readiness.
  • Collaborate with the Maintenance department for the swift resolution of any room-related issues.
  • Work with Food & Beverage departments on guest packages, events, and VIP amenities.
  • Partner with Sales & Marketing to coordinate corporate and group reservations.
  • Liaise with Security to ensure the safety and well-being of guests.
  1. Health, Safety & Security Compliance
  • Ensure strict adherence to hotel safety and security protocols.
  • Maintain guest confidentiality and protect personal data.
  • Respond effectively to emergencies and operational incidents.
  • Ensure all staff are fully briefed on fire, evacuation, and emergency procedures.
  • Maintain compliance with all relevant health and safety legislation.
  1. Quality Assurance & Standards Maintenance
  • Ensure consistent compliance with hotel brand standards and SOPs.
  • Conduct daily inspections of the Front Office area and lobby.
  • Monitor telephone etiquette and reservation standards for quality.
  • Enforce professional appearance and grooming standards among staff.
  • Participate in quality assurance audits and mystery guest programmes.

Qualifications & Experience

Essential Requirements:

  • A Bachelor’s Degree or Diploma in Hospitality Management, Hotel Management, Tourism Management, Business Administration, or a comparable field.
  • A minimum of five years of progressive experience in Front Office operations, with at least two years in a supervisory or management capacity.

Desirable Attributes:

  • Relevant certifications in Revenue Management or Guest Service Excellence.
  • Previous experience working with internationally recognised hotel brands.

Technical Skills & Knowledge:

  • Proficiency in Property Management Systems (PMS) such as Opera, Protel, or RoomRaccoon.
  • Experience with Central Reservation Systems (CRS).
  • Competence in Microsoft Office Suite.
  • Understanding of revenue management principles.
  • Expertise in cash handling and financial reconciliation.
  • Familiarity with hotel reservation systems.
  • Knowledge of guest service standards.
  • Ability to prepare reports and analyse data effectively.
