Finance Officer (3 Positions)

The Kamuzu University of Health Sciences (KUHeS), a beacon of excellence in health education, research, and innovation, is seeking qualified Finance Officers to bolster its Directorate of Finance and Investments. KUHeS manages a significant portfolio of externally funded research projects and requires dedicated financial management capacity to ensure stewardship, compliance, and timely reporting.

These are non-established positions, funded by research income and project-specific grants, with a contract duration of two years. Appointees will report to the Finance Manager and supervise Assistant Finance Officers.

Job Summary:

This role involves managing the day-to-day financial operations of grants, including budgeting, transaction processing, accounting, expenditure monitoring, financial reporting, and audit coordination. The Finance Officer will ensure adherence to grant regulations, terms, and conditions, as well as KUHeS financial policies. Close collaboration with Principal Investigators and the KUHeS Finance Manager is expected on all financial matters.

Duties and Responsibilities:

  • Process payments accurately, verifying source documents against payment vouchers.
  • Oversee and coordinate timely disbursement of program funds in line with work plans, ensuring expenditure stays within budget limits.
  • Accurately capture financial transactions into the SAGE ACCPAC ERP system.
  • Prepare monthly management accounts, including detailed analysis of grant expenditure against budget, identification of variances, and reporting to the Director of Finance, Finance Manager, and Principal Investigators.
  • Monitor budget line variances and ensure they remain within acceptable limits.
  • Provide timely financial insights and feedback to leadership on grant-related issues.
  • Retire cash imprests and other advances for grant activities.
  • Reconcile all bank accounts, receivables, and payables, reporting any unusual transactions.
  • Maintain the fixed asset register for grants.
  • Prepare financial reports for review by the Director of Finance and Finance Manager before submission to donors or for audits.
  • Ensure compliance with internal control standards and donor requirements.
  • Liaise with Payroll Accountants to ensure correct salary remittances and timely payment processing.
  • Prepare schedules for receivables and payables, ensuring prompt collection and payment.
  • Monitor daily bank balances as part of treasury management and advise on necessary fund transfers.
  • Serve as the primary financial contact point for Grants Officers and Project Staff.

Required Education, Skills, and Experience:

  • Bachelor’s Degree in Accountancy or an equivalent qualification.
  • A qualification such as CIMA, ACCA, or CA will be considered an advantage.
  • A minimum of three years of relevant working experience, particularly in project finance.
  • Familiarity with ACCPAC is required.
  • Strong proficiency in Microsoft Excel.
  • Ability to work independently in a fast-paced, deadline-driven environment.
  • Well-developed interpersonal and communication skills (verbal and written), along with negotiation skills.
