The Hunger Project Malawi (THP-Mw), an affiliate of The Hunger Project Global, is a non-profit organization dedicated to the sustainable eradication of world hunger. Our vision is a world free from hunger, and our mission is to empower individuals and communities to drive change that transforms the inequitable systems perpetuating hunger. THP-Mw has been active in Malawi since 1999, implementing programs and projects across Blantyre, Chikwawa, Neno, Nsanje, Machinga, and Rumphi districts.
THP-Mw is recruiting qualified, experienced, and motivated individuals with strong ethical standards to fill the following vacant positions. All roles are based at the Head Office in Blantyre and are offered on a fixed-term annual contract, renewable based on continued donor funding and individual performance.
Senior Grants Officer (1) – Blantyre
Position Summary
The Senior Grants Officer is pivotal in ensuring the organization's financial integrity and adherence to grant compliance. This role involves overseeing grant budgets, managing donor financial reporting, and upholding funding agreement stipulations. The position requires a detail-oriented professional to provide essential financial oversight within a lean operational structure. The role reports to the Head of Finance.
Essential Functions
Grant Budget & Financial Management
- Develop, monitor, analyze, and manage grant budgets to ensure expenditures align with donor agreements.
- Assist with budget forecasting, manage reallocation requests, and support financial projections for grant funds.
- Provide monthly and quarterly financial grant updates to the Head of Finance (HoF).
- Monitor and report on variances between actual expenses and grant budgets, initiating corrective actions as necessary.
Donor Reporting & Compliance
- Prepare accurate and timely financial reports for donors in collaboration with project accountants, ensuring full compliance with funding agreements.
- Verify that all financial transactions meet donor requirements.
- Track restricted and unrestricted funding sources, ensuring appropriate allocation.
- Prepare documentation and support internal and external grant audits.
- Assist in developing and reviewing (sub)grant budgets, and provide training and support to partner implementing organizations as needed.
Financial Oversight & Internal Controls
- Maintain comprehensive documentation for agreements, budgets, financial records, and grant modifications.
- Ensure grant expenses are consistent with organizational policies and donor guidelines.
- Collaborate with program teams to ensure that eligible and allowable expenses are correctly allocated to grants.
- Develop grant reconciliation reports to support month-end and year-end financial closing processes.
Administrative & Finance Support
- Assist with the allocation of payroll costs related to donor-funded projects.
- Work with project managers to conduct training and enhance financial literacy regarding grant management.
- Support the Head of Finance in developing funding proposals and budget submissions.
- Maintain a grant compliance calendar to ensure all deadlines for reporting and audits are met.
Required Qualifications and Competencies
- A Bachelor’s degree in Finance, Accounting, Economics, or an equivalent qualification. Must be a certified accountant recognized by ICAM, possessing strong analytical skills and extensive knowledge of US Generally Accepted Accounting Principles (US GAAP).
- A minimum of 3 years of experience in grant financial management, budget oversight, or non-profit finance.
- Familiarity with donor compliance frameworks such as USAID, European Union, UN agencies, and private foundations.
- Advanced proficiency in financial software like Sage and strong Excel skills.
- Experience in preparing financial reports and conducting variance analysis for donors.
- Thorough understanding of Malawian tax and labor laws relevant to NGOs.
- Ability to work independently and effectively under pressure within an NGO setting.
- Experience working with international or regional NGOs managing multiple grants.
- Familiarity with procurement processes, due diligence, and financial risk management.
- Proficiency in English is required.
- Capability to train and support non-financial staff in financial literacy and compliance.
- Experience managing global country budgets exceeding USD 2.5 million.
- High level of accuracy and adherence to confidentiality.
