Established in 1987, the AIDS Healthcare Foundation (AHF) is an international organization dedicated to delivering advanced medical care and advocating for over 2,900,000 patients across 50 countries. In Malawi, AHF collaborates with the Ministry of Health and Sanitation (MOHS) to enhance access to high-quality treatment for HIV/AIDS, tuberculosis (TB), and sexually transmitted infections (STIs). AHF Malawi currently provides these vital services in 38 remote health facilities across Dedza, Lilongwe, Ntcheu, Nkhotakota, Chikwawa, and Nsanje Districts, with plans for expansion into Chiradzulu and Thyolo in 2026.

Reception/Linkage and Retention Counselor

Reports to: Comprehensive Nurse

Duty Station: Biwi Health Centre (Wellness Clinic), Lilongwe district

Position Summary

The Facility Receptionist serves as the primary point of contact for all clients visiting the Wellness Centre. This role ensures a welcoming, respectful, and stigma-free environment while efficiently managing client flow, EMR registration, various administrative tasks, and critical linkage support activities.

This position significantly contributes to optimizing service flow, enhancing client retention, and improving overall client satisfaction within a high-volume facility.

Essential Duties and Responsibilities

  • Greet clients and manage front desk operations with professionalism and a client-centered approach.
  • Register clients within the Electronic Medical Record (EMR) system and maintain accurate, confidential records.
  • Direct clients to appropriate service points, ensuring a seamless flow throughout the facility.
  • Provide crucial support for linking newly diagnosed HIV-positive clients to ongoing care.
  • Track missed appointments and coordinate follow-up actions with Community Health Workers (CHWs) and diagnostic staff.
  • Distribute and monitor partner notification slips effectively.
  • Maintain supplies in the reception area, manage documentation, and organize filing systems.
  • Address client inquiries and support processes for gathering client feedback.
  • Participate in facility meetings and contribute to initiatives aimed at improving service flow.
  • Perform any additional administrative duties as assigned.

Qualifications, Experience, and Other Attributes

  • Certificate or Diploma in Business Administration, Information Management Systems, Public Administration, or a related field.
  • 2-3 years of experience in reception or administrative support, preferably within an NGO or healthcare setting.
  • Strong interpersonal, communication, and customer service skills.
  • Proficiency in MS Office applications and basic EMR/data entry functions.
  • Demonstrated ability to work efficiently and effectively in a busy clinical environment.
  • Possession of a high level of confidentiality, integrity, and professionalism.
