Projects Administrator (Contract Document Control Officer)
ACH Limited is looking for a meticulous and well-organized Projects Administrator, also serving as a Document Control Officer. This vital role involves assisting the Project Manager with crucial aspects of project governance, contract adherence, well as comprehensive documentation management across various construction initiatives.
Role Overview
- Provide essential support for project governance and ensure adherence to contractual terms.
- Oversee the management of structured reports and maintain rigorous document control systems.
- Monitor all contractual notices and manage project-related communications effectively.
Key Responsibilities
- Prepare and organize formal project communications—covering technical, commercial, and contractual aspects—for management review and approval.
- Manage and upkeep a systematic correspondence register alongside the document control framework.
- Oversee all contractual notice due dates, ensuring prompt issuance as stipulated by pertinent contract clauses.
- Contribute to the development of Extension of Time (EOT) and variation claims.
- Assemble comprehensive weekly and monthly project status reports.
- Produce and distribute meeting minutes, and diligently follow up on action items.
- Regularly update and manage the project's risk register.
- Monitor the status of outstanding certificates, payment records, and other commercial paperwork.
- Guarantee the correct filing, archiving, and efficient retrieval of all project-related documents.
- Collaborate with on-site staff to verify that project documentation accurately represents site circumstances and ongoing advancements.
Qualifications and Experience
- Hold a Diploma in Law/Paralegal Studies, Project Management, Business Administration, Quantity Surveying, or an equivalent qualification, coupled with pertinent exposure to the construction sector.
- Possess at least 2 to 3 years of professional experience within construction project management and contract assistance roles.
- Demonstrated understanding of common construction contract types, such as FIDIC, NEC, or comparable frameworks.
- Proven experience in document management and implementing structured reporting methodologies.
- Exhibit excellent professional communication and business writing proficiencies.
