Role Overview
We are seeking a detail-oriented and systems-focused Information Systems Specialist to champion the design, implementation, governance, and ongoing enhancement of our core operational systems. This pivotal role carries complete responsibility for our business systems and will gradually expand to encompass broader systems integration across the entire organisation. The ideal candidate will possess a strong aptitude for process design, coupled with the ability to translate intricate operational workflows into robust, scalable, and well-governed digital solutions.
Key Responsibilities
1. ClickUp Workspace Architecture & Governance
- Develop, deploy, and maintain a meticulously structured and scalable ClickUp workspace architecture.
- Transform business logic, process diagrams, and standard operating procedures into automated, systemised workflows.
- Create and manage sophisticated automations, recurring tasks, and standardised templates.
- Implement and enforce stringent governance protocols to prevent fragmentation within the workspace.
- Oversee user roles, permissions, and access controls.
- Spearhead user onboarding, comprehensive training, and sustained support for both internal staff and external clients.
2. KPI, Reporting & Portfolio Oversight
- Construct and maintain executive-level and operational dashboards for clear data visualisation.
- Establish structured reporting frameworks to facilitate project tracking and performance monitoring.
- Enable comprehensive portfolio visibility through effective data presentation.
- Provide essential support for forecasting, milestone tracking, and capacity planning initiatives.
3. Business Systems Integration
- Evaluate, recommend, and integrate essential business tools, including finance systems, CRM platforms, document management solutions, and GIS software.
- Ensure seamless interoperability and consistent data integrity across all integrated platforms.
- Administer SaaS applications, configure systems, and manage their lifecycles.
4. Automation & Operational Efficiency
- Identify and implement opportunities for automation to significantly reduce administrative overhead.
- Design structured intake forms, streamlined approval workflows, and standardised operational processes.
- Drive cross-departmental workflow optimisation initiatives.
- Lead continuous process improvement efforts to enhance efficiency.
Required Profile
- Possession of a Bachelor’s degree in Information Systems, Computer Engineering, Computer Science, or a closely related field.
- Demonstrable background in operations, systems design, or the implementation of enterprise-level systems.
- A strong grasp of business process mapping techniques and workflow automation principles.
- Familiarity with fundamental IT systems administration concepts.
- Previous experience working within structured and compliance-driven environments.
- A solid understanding of project portfolio management methodologies.
- Proven ability to design scalable systems and establish effective governance frameworks.
- Exceptional analytical, documentation, and problem-solving capabilities.
- A minimum of 2 to 3 years of relevant professional experience.
Preferred / Advantageous
- Hands-on experience with collaborative work management platforms such as ClickUp, Monday.com, Wrike, Planview, or Asana.
- Proficiency with workflow automation and integration tools, including Zapier, Make, or Power Automate.
- Prior exposure to cross-functional system integration projects.
