Key Responsibilities:

Administrative Support and Office Management ·

 

Offer daily administrative assistance to the project team. · Oversee project office operations, ensuring an organized, functional, and professional workspace. · Maintain an efficient filing system for project documents (both physical and electronic). · Prepare, type, and distribute official correspondence, memos, and reports. · Guarantee the confidentiality and proper handling of sensitive project information. · Manage office supplies, ensuring the availability of necessary materials. Perform any additional duties relevant to the role as assigned by the supervisor.

 

Financial and Procurement Support ·

Support the Project team with monitoring administrative project expenditures. · Generate payment requests, purchase requisitions, and various administrative financial documents. · Coordinate with Finance and Procurement departments to facilitate prompt processing of requests. · Keep meticulous records of invoices, receipts, and other financial paperwork. · Help manage the budget for administrative and operational expenditures

 

Meeting and Coordination Support ·

Organize and schedule project meetings, both internal and external. · Develop meeting agendas, distribute invitations, and prepare pertinent documentation. · Record and disseminate meeting minutes promptly. · Monitor and follow up on action items from meetings, providing updates to the Project team. · Facilitate communication among project staff, partners, and stakeholders.

 

Logistics and Travel Coordination ·

Plan and coordinate travel arrangements for project staff and partners, encompassing transport and lodging as needed. · Assist with the planning and logistics for field visits, workshops, training sessions, and stakeholder gatherings. · Verify that all logistical provisions adhere to organizational policies. · Keep detailed records of
