About the role

 

The PES  Execution and Data Supervisor will be responsible for the administrative  and data reconciliation/follow up  pieces of the program ensuring the smooth operation and successful implementation of the program.

 

Note: The successful candidates will be offered a 11-months contract. The role is tenable in Zomba. Interested candidates must be willing to work in Zomba. One Acre Fund will provide support for employee relocation in-line with our internal relocation policy.

 

Job Description

  • Data reconciliation: Responsible for follow-ups on identified data  gaps with the field team and reconcile dashboard numbers vs what the field team has

  • Payment request: Responsible for all PES farmers, casual  and staff payment requests and related payment follow ups and reconciliation

  • PES CE Liaison: Responsible for compiling farmer  queries, grievances or  feedback channelled  through the Customer Engagement team

  • Task Resource Coordination: Assist in the coordination of specific tasks  by ensuring the required resources are available at the right time for the team including training materials printing, training venue, transport arrangements

  • Resource Procurement and Allocation: Submission of procurement requests  and allocate  resources to field teams  on time. This includes tracking of procured resources and reconciling stocks

  • Scheduling: Organise and schedule meetings and events related to the program, ensuring that all stakeholders are informed of important dates and deadlines.

  • Logistics: Coordinate travel arrangements, venue bookings, and other logistical needs for program-related activities. Submit payment requests for vendors in the portal and track to ensure vendors are paid on time

  • Communication: Be the central point of contact for field communication and HQ communication related to the program, disseminating information, updates, and reports to relevant stakeholders both within PES and other departments

  • Document Management:

  • Documentation: Prepare, maintain, and organise program-related documents, including team meeting agendas, printing training materials, field reports, NM MoUs, and casual contracts.

  • Filing and Record-Keeping: Ensure that all program documents (training, processes documentation, etc.) are properly filed and accessible, maintaining both physical(e.g. distribution IDSes, FPIC forms)  and digital records.

  • Support to Stakeholders: Providing administrative support to program stakeholders, including preparing materials, organising resources, and responding to inquiries.

    •  Helping to organise stakeholder engagement activities, such as workshops, focus groups, or feedback sessions.

Qualifications

Technical Skills and Knowledge

  • Minimum of Diploma in Administration or related

  • 1-2 years of experience in administrative work and data management

  • Strong communication and interpersonal skills

  • Report writing skills

  • Problem-solving and conflict-resolution skills

  • Leadership skills

  • Computer skills: proficiency in data analysis, excel/googlesheet, word etc

  • Knowledgeable of community work dynamics
