Our established legal practice is seeking to recruit qualified and seasoned individuals to fill an important role within our team.
POSITION: SECRETARY / RECEPTIONIST
LOCATION: Blantyre
JOB OBJECTIVE
To ensure the seamless operation of our front desk and provide comprehensive secretarial and administrative assistance. This role is pivotal in presenting a professional image to clients and visitors, acting as the primary point of contact and supporting the daily workflow of the office.
CORE DUTIES AND RESPONSIBILITIES
- Orchestrate and manage the schedules, appointments, and meetings for partners and staff, optimizing time utilization.
- Handle all incoming telephone calls, screening and directing them appropriately, while accurately taking and relaying messages.
- Manage the processing of all incoming and outgoing communications, including emails, letters, and parcels.
- Compile, organize, and maintain all files, documents, and records, ensuring their easy accessibility.
- Perform data entry tasks and meticulously maintain databases, upholding a high standard of accuracy and confidentiality.
- Ensure the reception area and office environment are consistently clean, orderly, and professionally presented.
- Procure office supplies and oversee essential office maintenance requirements.
REQUIRED QUALIFICATIONS AND EXPERIENCE
- Possess a Diploma in Secretarial Studies, Business Administration, Office Management, or a comparable field from an accredited institution.
- A minimum of one (1) year of proven experience in a dynamic office setting; prior experience within a legal firm is highly advantageous.
- Demonstrate proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other standard office software.
