The Central Medical Stores Trust (CMST) is seeking a dedicated Assistant Logistics Officer to support its vital mission of procuring, warehousing, and distributing essential medicines and medical supplies across Malawi. Purpose of the Role

This position is designed to assist in the comprehensive management and coordination of logistics and distribution functions. The role ensures the efficient storage and dispatch of medicines and medical supplies, while also generating accurate reports crucial for inventory control, operational effectiveness, and service delivery.

Key Responsibilities

• Oversee and monitor daily logistics operations and distribution activities within the warehouse.


• Collaborate with Pharmacists and Third-Party Logistics (3PL) providers to develop and implement distribution plans.


• Ensure timely and accurate recording of receipts and deliveries in the ERP system, maintaining all associated documentation.


• Address and resolve customer inquiries and complaints related to deliveries and distribution.


• Process stock transfers and customer deliveries accurately and within stipulated timeframes.


• Coordinate inter-branch transfers with pharmacists, logistics personnel, and other stakeholders.


• Track customer deliveries, follow up on outstanding orders, and ensure complete order fulfillment.


• Facilitate delivery debriefings and support the implementation of corrective actions.


• Manage the collection, verification, and filing of Proof of Delivery (POD) documentation.


• Investigate delivery discrepancies and monitor the implementation of corrective measures.


• Maintain effective communication channels with 3PL providers, health facilities, and internal departments.


• Support the management and oversight of 3PL contracts at the branch level.


• Ensure adherence to Good Distribution Practices (GDP), CMST policies, and relevant regulatory requirements.


• Prepare performance reports on logistics and operations to inform decision-making.


• Undertake any other logistics and warehouse management duties as assigned by management.

Qualifications and Experience

• Education: Diploma in Pharmacy, Supply Chain Management, Logistics, or a closely related field from an accredited institution. Malawi School Certificate of Education (MSCE) or equivalent is also required. Membership with the Malawi Institute of Procurement and Supply (MIPS) is mandatory.


• Experience: A minimum of three years of relevant experience in warehouse, logistics, or supply chain operations. Experience in inventory management, distribution planning, and transport coordination is essential. Proficiency in using Enterprise Resource Planning (ERP) or Warehouse Management Systems (WMS) is required.
