About the Role
GiveDirectly's operations in Malawi are experiencing significant growth. We are seeking a Director of Operations to take full responsibility for our back-office functions. This new senior leadership role is crucial for scaling our procurement, logistics, HR, and administrative operations to support multiple locations. The Director of Operations will manage these functions end-to-end, enabling the Country Director and program teams to concentrate on program quality, research, and strategic expansion.
The ideal candidate possesses extensive operational expertise, particularly in procurement, supply chain, and compliance, coupled with strong leadership abilities to build and mentor a team. You should thrive in a dynamic, non-hierarchical environment, be comfortable making independent decisions, and demonstrate a proactive, problem-solving approach.
Key Responsibilities
- Build and Lead the Malawi Operations Team: Recruit, onboard, mentor, and manage a high-performing team across procurement, field office management, and stores/logistics. Develop clear roles, responsibilities, and standard operating procedures to ensure high standards and independent team operation.
- Design Cost-Effective Systems for Scale: Develop and implement robust systems and processes to support a substantially larger program footprint, anticipating future needs in areas like direct procurement, warehousing, and in-country technology infrastructure. Drive measurable improvements in back-office processes, focusing on speed, cost-efficiency, and oversight.
- Lead Procurement, Logistics, and Supply Chain Function: Oversee end-to-end procurement, vendor management, and payment processes, ensuring strict adherence to GiveDirectly's policies and Malawian regulatory requirements. Design and implement improved strategies for supply chain management, secure storage, and transportation across multiple locations, collaborating with Global Supply Chain leadership. Chair the Malawi Procurement Committee and manage procurement approvals. Resolve operational bottlenecks to ensure program teams have the necessary resources.
- Oversee HR, Administration, and Office Management: Manage daily HR operations, office management, asset management, and security across all Malawian sites. Ensure administrative systems are efficient and scalable. Collaborate with Finance on operational budgeting and planning.
- Drive Compliance and Risk Management: Oversee internal audit and safeguarding functions, serving as the primary owner for case resolution. Proactively identify and mitigate operational risks, maintaining a risk register. Ensure all operations meet global standards and local regulations, adapting policies for the Malawi context. Liaise with Finance for external audits, regulatory compliance, and payment processes.
Requirements
- Strong alignment with GiveDirectly's values and demonstrated core competencies: emotional intelligence, problem-solving, project management, follow-through, and fostering inclusivity. Experience in low-income or historically marginalized communities is highly encouraged.
- Minimum of 8 years of experience in operations management, with significant expertise in procurement, supply chain, logistics, and compliance.
- Proven success in building or maturing operational functions, transitioning from ad hoc processes to structured, compliant, and scalable systems.
- Proficient financial and budget management skills, including experience managing operational budgets and driving cost-effectiveness.
- Experience managing and developing teams, including recruitment and mentorship in resource-constrained settings.
- Ability to thrive in a fast-paced, ambiguous environment, requiring independent problem-solving.
- Highly analytical with meticulous attention to detail and a preference for data-driven decision-making.
- Familiarity with INGO standards, donor compliance, internal controls, and audit processes.
- Excellent cross-cultural communication skills and experience working effectively in matrixed organizations.
- Aptitude for leveraging technology and AI to enhance operational effectiveness, with comfort in agile and iterative approaches.
- Knowledge of Malawian regulatory environments for NGO operations, procurement, and employment law is a significant advantage.
- Proficiency in English is required; Chichewa language skills are preferred.
