Role Overview


The Procurement Officer (PO) will collaborate with the Operations and Procurement Manager (OPM) to expertly manage GiveDirectly's procurement activities. This position is instrumental in securing competitive bids, vetting and overseeing vendors, and maintaining precise procurement records, all of which directly contribute to the OPM’s responsibilities in upholding procurement policy, managing vendor relationships, and ensuring budgetary adherence. Success in this role hinges on meticulous attention to detail, sound judgment in vendor assessment, and a steadfast commitment to transparent and thoroughly documented procurement processes.


Key Responsibilities and Duties



  • Solicit and compile competitive quotations from suppliers for goods, services, and works, adhering to GiveDirectly's procurement thresholds and established policy.

  • Conduct comprehensive market research to identify prospective suppliers and stay abreast of prevailing pricing trends.

  • Develop quotation comparison matrices and bid analyses to inform the OPM's procurement decisions.

  • Support the vendor prequalification process, rigorously verifying business registrations, compliance documentation, references, and capacity as stipulated by the organization’s procurement policy.

  • Maintain and consistently update a roster of prequalified vendors, categorized by the type of goods or services offered.

  • Contribute to periodic vendor performance evaluations and manage the follow-up on any required corrective actions with vendors.

  • Coordinate with vendors regarding delivery schedules, repair timelines, and maintenance for procured supplies, including field equipment and recipient mobile phones.

  • Assist in procuring inventory, supplies, and equipment, and support the implementation of GiveDirectly's procurement policy in daily sourcing operations under the OPM's guidance.

  • Prepare purchase requisitions, purchase orders, and procurement contracts for the OPM’s review and final approval.

  • Ensure procurement records are meticulously organized and audit-ready, encompassing quotations, purchase orders, contracts, and vendor files.

  • Guarantee that all procurement processes strictly adhere to GiveDirectly’s procurement policy and any relevant donor stipulations.

  • Promptly report any procurement-related risks, delays, or instances of non-compliance to the OPM and the management team.

  • Provide regular procurement status updates and tracking reports to the OPM, and assist with ad hoc procurement-related tasks as needed.


Qualifications and Experience



  • A minimum of 3 years of progressive experience in procurement, purchasing, or supply chain management.

  • Possession of a bachelor’s degree or higher in Procurement, Logistics, or Supply Chain Management.

  • Professional body membership is considered an advantage.

  • Demonstrated strong negotiation capabilities and sound judgment in evaluating vendors.

  • Exceptional attention to detail and robust record-keeping and documentation skills.

  • Excellent verbal and written communication abilities.

  • A strong sense of ownership and the capacity to work autonomously.

  • Prior experience with procurement, payment, or expense management systems (e.g., Tipalti, Nexonia, or similar) is advantageous.

  • Proficiency in office software, including Microsoft Office Suite and Google Workspace, with advanced skills in Excel/Sheets.

  • Comfortable operating within an environment that values direct and candid feedback.

  • Fluency in English is mandatory.
