Job Summary
We are seeking an experienced and dynamic Dispatch Officer to join our team and play a key role in managing day-to-day warehouse operations, including tracking and receiving goods and stock taking and other duties assigned. The ideal candidate will have a strong background in communication, decision making, and a passion for optimizing processes to ensure the highest level of customer satisfaction.
Duties and Responsibilities
- Handle incoming calls, emails, and other forms of communication from customers regarding queries and issues.
- Monitor process of loading and offloading of parcels at warehouse.
- Monitor the progress of drivers and shipments, ensuring that they adhere to delivery schedules as per customer orders.
- Provide drivers with vital information such as addresses, delivery instructions, and optimal road routes.
- Liaise with customers to resolve any issues or complaints they may have in the delivery process or with shipments.
- Maintain accurate and up-to-date records of deliveries, driver information, and other information regarding deliveries, e.g., quantity of number of packages loaded in transit or offloaded at office of destination.
- Continuously improve dispatching processes and procedures to optimize efficiency of consignments to customers on a daily basis.
- Coordinate with other departments such as customer service, operations, and logistics to ensure the smooth flow of information and good deliveries of goods.
- Compiling stock of parcels in warehouse e.g. verification, inspection of condition before dispatching, maintaining records according to office of destination or dispatch as waybills details.
- Provide packaging style of parcels in warehouse or vans e.g. fragile items.
Additional Requirements
- A diploma in logistics and supply chain management or any related field.
- Excellent communication skills, both verbal and written, with the ability to handle and resolve conflicts calmly and professionally.
- Strong organizational skills, with the ability to work under pressure and time constraints.
- Knowledge of transportation regulations and safety standards, and the ability to ensure compliance.
- Good computer skills with experience using Microsoft Office suite, dispatching software, and GPS tracking systems.
- Knowledge of warehousing management.
