Position Overview
The Finance Officer plays a critical role in supporting Pact Malawi's financial management. The primary purpose of this position is to ensure accurate, current, and complete disclosure of financial transactions, maintain records identifying the source and application of funds, and guarantee effective control and accountability of financial assets. The officer also facilitates the comparison of expenditures against budget allocations, adhering to Pact’s financial policies and donor regulations.
Key Duties
- Prepare and process payments for various activities and training sessions.
- Manage and verify all payment request documents received from the procurement team.
- Take the lead in maintaining all financial documents, including scanning, filing, and uploading to Pact's One Drive.
- Post financial transactions accurately into the accounting software (Serenic).
- Assist the team in gathering documents for audits and respond to audit queries as required.
- Review staff advance requests for completeness before submission for approval.
- Review, check, and follow up on staff liquidations (travel and other expense reports) to ensure timely submission.
- Review and issue monthly staff advance balances, advising the Senior Finance Officer of large or long-outstanding advances.
- Review payment vouchers and supporting documents, and cheques prepared by the Finance Assistant for completeness prior to approval.
- Prepare monthly bank account reconciliations, ensuring reconciling items are verifiable and followed up.
- Participate in staff orientation, training, development, and team-building activities.
- Perform other finance-related duties as assigned by the Finance and Operations Manager.
Qualifications
- Master’s Degree in Accounting, Finance, or Commerce, or an Advanced Diploma in these fields. An ACCA qualification is an added advantage.
- At least five years of progressively responsible experience in general accounting, with a minimum of one year working with non-profit organizations and international donors (especially USAID).
- Strong knowledge and familiarity with donor rules and regulations, particularly those of USAID.
- Prior experience working with online banking platforms.
- Comprehensive understanding of financial and accounting principles.
- Working knowledge of accounting software such as QuickBooks, ACCPAC, or Serenic.
- Demonstrated ability to perform account reconciliations.
- Excellent oral and written communication skills in both English and Chichewa.
- Exceptional attention to detail and strong training and capacity-building skills.
- Proficiency in computer literacy and standard office applications.
- Ability to work effectively under pressure and meet deadlines.
- Strong analytical and report presentation skills.
- Ability to work collaboratively and effectively within a team environment.
